How to see how your shop is doing in UpeoRetail
UpeoRetail answers two different questions. The Dashboard tells you how today is going, right now. The Trading Report arrives by email each evening and covers the whole period properly, branch by branch and person by person. Owners should read the Dashboard in passing and the Trading Report properly.
The Dashboard: today at a glance
Open Dashboard from the Insights menu.
What you are making
| Figure | What it tells you |
|---|---|
| Sales | What you have sold today |
| Gross profit | What you actually made on it, after what the goods cost |
| Transactions | How many sales, so you can see average basket size |
| Money in | What was actually collected, which is not the same as sales |
| VAT collected | Tax collected, which is not your money |
Sales and Money in differ whenever you sell on credit. Sales is what went out of the door. Money in is what reached the till. A shop with high sales and low money in is lending, not trading.
What is at risk
- Low stock and Reorder soon - what you are about to run out of. When you are fine it reads All items above reorder level.
- Outstanding credit - what customers owe you in total.
- Receivables aging - how old those debts are, from Current · 0–30 days to Overdue · 60+ days. Money in the 60+ bucket is money you may never see.
- Top debtors - who owes the most.
- Stock value - what is sitting on your shelves.
What is working
- Top products - what is actually selling.
- Top seller - who is selling it.
- Sales trend - the direction of travel.
- Branches - which shop is pulling its weight.
- Recent transactions - the last sales as they happen.
The Trading Report: the whole picture
Each evening UpeoRetail emails the Trading Report. It covers the period properly, broken down by branch and by person.
It arrives at the hour your shop chooses, so you can have it waiting when you close rather than in the middle of trading.
Read this one properly. The Dashboard is for glancing at during the day. The Trading Report is where you find the things you were not looking for.
What good looks like
- Gross profit is a healthy share of Sales, and steady week to week.
- Money in tracks close to Sales, unless you sell on credit deliberately.
- Almost nothing sits in Overdue · 60+ days.
- Low stock is short, and acted on before items run out.
If something goes wrong
Gross profit looks wrong. The cost of your stock is probably wrong. Costs are set when you receive goods. See how to receive stock from a supplier.
Sales are high but Money in is low. You are selling too much on credit. Work the Receivables list.
Stock value looks too high. Either you are overstocked, or your counts are wrong. Run a stock take.
The Trading Report is not arriving. Check the email address it is set to send to, and that the sending hour is set. Ask whoever set up your system.
