How to sell when the internet is down in UpeoRetail
When the internet drops, UpeoRetail keeps selling. The sale is saved on the till and uploaded when the connection returns. Offline sales must be paid in full in cash, and the total is provisional until it syncs. Some items are deliberately blocked offline, so the shop cannot be caught out.
What changes when you go offline
The green Complete button becomes Save offline, showing the amount. Below it UpeoRetail warns: Offline — total is provisional; confirmed on sync.
Provisional means the price is worked out on the till from what it last knew. Once the sale uploads, the server confirms the real figure.
What you can and cannot do offline
| Allowed | Not allowed |
|---|---|
| Cash sales, paid in full | Credit sales |
| Ordinary stock items | Part payments or unpaid balances |
| Items above your shop's offline value limit |
UpeoRetail explains exactly why it is refusing:
- Offline sales must be fully paid in cash.
- Credit sales require a supervisor and cannot be completed offline.
- Offline selling is disabled. - your shop has turned it off completely.
- [item] is serial/batch tracked and cannot be sold offline.
- [item] is a high-value item and cannot be sold offline.
- Discount on [item] exceeds the offline limit of [x]%.
- Sale total exceeds the offline cap of [amount].
These are your owner's settings, not faults. They exist so a till that cannot check anything cannot give away the expensive stock.
Steps
1. Carry on as normal
Add items to the sale the usual way. Nothing about the screen changes except the warnings.
2. Take the full amount in cash
Enter the cash taken. Balance must reach zero.
3. Save the sale
Press Save offline · KES 4,500. The sale is stored on the till.
Give the customer their receipt as normal.
4. Wait for the connection
When the internet returns, saved sales upload on their own. You do not need to do anything.
5. Check nothing was left behind
Once you are back online, open Offline Review from the Shop menu. Anything that failed to upload is listed there with the reason, so it can be fixed rather than lost.
What good looks like
- Every offline sale has uploaded and appears in My Sales.
- Offline Review is empty.
- Your shift totals match the cash in the drawer.
If something goes wrong
The button will not let you save. Read the red line under it. It names the exact reason, usually an unpaid balance or a blocked item.
A customer wants credit while you are offline. You cannot. Either take cash now, or ask them to come back when the connection is up.
A sale is sitting in Offline Review. Something changed between the sale and the upload, for example the stock ran out. Open it, read the reason, and tell a supervisor. Do not just delete it.
Do not close the browser with unsynced sales on the till. They live on that device until they upload.
